What we collect and why
- Enquiries: when you use our contact form or email us, we collect your name, email, phone number (optional), business name, website, the service and budget you select, your message, and the page you sent it from. We use this only to reply to your enquiry and, if you become a client, to provide our services. Lawful basis: our legitimate interest in responding to enquiries, and taking steps at your request before entering into a contract.
- Security logs: your IP address is processed briefly to prevent spam and abuse of our forms (legitimate interest).
- Analytics (only with consent): if you accept analytics cookies, Google Analytics 4 collects information about how you use the site, such as pages viewed, approximate location and device type. We do not use advertising cookies.
Who we share it with
Our website hosting and email providers (to receive and store enquiries) and, if you consent to analytics, Google. We do not sell personal data or add you to mailing lists.
International transfers
Our team works remotely, and some team members access enquiry data from outside the UK. Google may process analytics data outside the UK. Where personal data is transferred outside the UK, we use appropriate safeguards required by UK data protection law.
How long we keep it
Enquiries that don't lead to work are deleted within 24 months. Client records are kept for as long as needed for the contract and for legal and accounting requirements (usually six years). Analytics data is kept for 14 months.
Your rights
You can ask to access, correct or delete your data, object to processing or ask us to restrict it, by emailing hello@rootse.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.
